RAYSA Board Meeting - July 11, 2019

Called to order at 7:01 p.m.

Members in attendance:  Matthew Graham, James Horning, Dave Thompson, Lynne Thompson, Jess Dahm, Alicia DiBernardo, Christine Cox, Michelle Loar, Kelly Odille, Ryan Pergola, Amy Round, Katie Yohe and Leigh-Ann Scheponik

·         Treasurer’s Report:

o     $21, 373.75 currently in the RAYSA account

o    There’s an outstanding check made out to baseball from the funnel cakes for $250 from last summer.

o   Ghost checks from people who did not volunteer for the Spring season

§  Approximately $1,650 to be deposited by Michelle tomorrow

§  If their check bounces the participant must give $50 cash as their “ghost check”

o   Referee fees for Fall - approximately $4,500

o   Matt reported that we have line paint, soccer balls, and most coach supplies. We will need concession stand supplies.

o   Each year approximately $2,400 goes to PA West for our travel teams - $1,500 for Fall and $919 for Spring.


·         Fundraisers:

o   The summer fundraiser to help defray the cost of uniforms and registration was a success. Approximately 450 hoagies were sold.

o   We will be doing the season long raffle, but we will have winter gear instead of Riverhounds tickets.

o   We discussed a possible voluntary pepperoni fundraiser in the Fall.

o   We made $100 on RAYSA gear through Sparkles by Shell online store.


·         Becoming a Non-Profit Organization:

o   It’s $600 to become a non-profit organization, but it is worth it.

o   Lynne Thompson will do the “leg work” for us to get a new charter. 


·         Finleyville Field Update:

o   Union Township is proposing to increase our rent to $550 or more, but it still hasn’t been decided by the township supervisors officially.

o   Union Township stated at their meeting on Wednesday, July 13th that they apologize on the miscommunication regarding the Finleyville fields. We are still permitted to use the fields, but they are going to create a baseball field there, as well. We need to have moveable nets so people who rent the building can use the entire grassy area. We may ultimately lose some soccer fields once the baseball field project is completed.

o   We will need to get wheel kits for the U8 nets to be moved, as per the township. We can buy wheel kits for the u8 nets instead of buying new goals. (Possibly $1,000) Jen and Jess will look into getting wheel kits for Finleyville.  

o   We are exploring other field options. Finley-Elrama Field behind the firehall may be a possibility for our future fields if the Union Township changes to our current Finleyville field affects RAYSA significantly.


·         Coaches’ Handbook:

o   Katie created a handbook for our RAYSA coaches to access (U6-U14).

o   It contains an introduction, objectives, characteristics, skills, examples of drills and warm ups, etc…

o   This will be available for coaches to pull from the website. This is a plus because some coaches are new and need a little bit of guidance.


·         Coaches’ Training (paid by RAYSA):

o   PA West - will come to us if we have a minimum of 12 coaches $60/coach OR

o   United Soccer Coaches – will come to us if we have a minimum of 12 coaches $80/coach, but they offer 2 more hours of training and $1,000,000 liability insurance.

o   RAYSA will pay for the coaches to get trained and get their licenses.

o   We will start in the Fall of 2020 for coaches to take this course.


·         Evaluations:

o   We will have separate ages coming at different times for the Spring evaluations.

o   Each age group will come two different days over two weeks.

o   U10, U11, and U12 will have individual times so each age level will be able to be evaluated separately. Only U8 players who will be moving up to U10 in the Fall will need to come to evaluations.

o   Evaluators will make the teams. There will be skill/ability leveled teams based on evaluation scores.


·         Travel Soccer:

o   All travel games will be played at Palmer Park for the Fall season.

o   We will request the high school stadium for Spring travel games.  

o   We discussed possibly getting the travel coaches lightweight fall jackets (12 coaches), but nothing was finalized.

o   RAYSA soccer bags – Jim will talk to Shell about bulk pricing if parents want to order a soccer bag.

o   Matt and Katie will reach out to the travel coaches about getting sizes for goalie shirts.

o   Christine, Michelle, and Leigh-Ann will look into getting the travel players sweatshirts.  


·         Summer Camp:

o   21 out of 30 spots were filled for the 2010, 2011, 2012 age group.

o   18 out of 30 spots were filled for the 2007, 2008, 2009 age group .

o   We think we would’ve had more participation if we advertised it earlier.


·         Advanced Referee Training (for ages 14+):

o   Kevin approached Matt.

o   $100 for the training – We can train 5 refs per year. The refs would have to pay to get trained.

o   RAYSA would pay them more money for the first 3 games to be reimbursed for the cost of the training.


·         Goalie Gloves:

o   We will purchase goalie gloves for U10 in house players.


·         Concession Stands:

o   Each community president will check their supplies and send requests to Matt.

o   New Eagle: needs a water tank, a ditch dug for drainage on the end U8 field, new U6 goals, and the fence fixed. Dave will get estimates for the water tank and the ditch. Matt will contact the school district again about getting the manhole cover fixed in the parking lot.

o   Mon Valley Revitalization needs volunteer hours – They can help set up and clean up and we can sign off on their volunteer hours.

o   Jen Czaniecki will use for concession stand sign up. Anyone can work at any of the fields.

o   We are slightly altering how many people are needed.

§  Set up – 2 people, during games – 3 people, clean up – 3-4 people

§  Coaches MUST collect ghost checks for the concession stand before the first game or the player will be unable to play in the games. Michelle would like them all turned in at once by the coach in an envelope to make it easier than it was in the Spring.


·         Game Schedule:

o   Fall Season – September 7th-October 26th

o   Palmer Park will start – 3 weeks (JIM), New Eagle – 3 weeks (DAVE), and Finleyville – 2 weeks (JEN)  

o   Coaches’ meetings need to be scheduled by each community president toward beginning/mid- August. Please let Matt, Ryan, and Katie know the dates of the meetings so they can attend to answer any questions. Community presidents need to let Jim know of any new coaches who need a coach’s shirt.


·         General Meeting – Possibly Wednesday, August 28th – Location to be determined

o   Practices will be cancelled that night.


·         Local Parades:

o   250th year anniversary parade – August 10th – Wear your uniform.

o   Halloween Parade – Do we want to have RAYSA participate?


·         Youth Nights:

o   The high school girls and boys soccer teams host youth soccer nights for RAYSA in the Fall. Players who wear their soccer shirt will get in free and receive a free hotdog and drink.

o   The high school girls’ night is usually in October and it’s a “PINK OUT”. We approved buying all of the RAYSA players pink socks and distribute them before October. The RAYSA players can wear them that night and for the whole month of October to support breast cancer awareness.
